We are Capital Fireplaces Ltd, a British company since 1990 and one of the leading UK trade suppliers of fireplaces, fires and stoves. We are the data controller as we determine with your consent, what authorised dealers/stockists/partner companies closest to your postcode location will receive and process your data for the means of contacting you only in relation to the promotion, marketing and/or sale of our products and/or services.

What information do we collect and how do we use it?

We collect the following personal data when you make a request for a printed brochure:

Address (Street, Town, County, Postcode, Country)
Your name and address is processed in order to post you the selected brochure/s. Should you complete contact fields and give your consent, your data will be passed securely to our three authorised stockists closest to your provided postcode location, who will process your data for the means of contacting you only in relation to the promotion, marketing and/or sale of our products and/or services.

We collect the following personal data when you make a request for details of your nearest fireplace stockists:

Your postcode is processed in order to provide you with authorised stockists closest to your provided postcode location.

When do we share your data with any other external party?

We only share your data with our authorised stockists, and on the occasion where your postcode locations falls within one of our partner companies areas of sale, whose stockists promote and sell, our products and services within your area, we will pass your details to our partner company in order that they can provide your details to the three authorised stockists closest to your postcode. Your data will not be passed on to any further third party or processed for any other purpose without your consent.

When do we obtain your data from an external party and how do we process it?

We may obtain personal contact details from a partner company. Your contact details is required to be provided to them with your consent, and to be transferred to us for the purpose of fulfilling a request for a brochure, providing you with details of our three authorised stockists closest to your postcode location, and/or providing the same three authorised stockists with your contact details who will process your data for the means of contacting you only in relation to the promotion and/or sale of our products and/or services.

What legal basis do we have for processing your personal data?

We process your personal data only with your consent, and only for the purpose you have consented to. We would never process your information for any other purpose without your consent. We do not collect, obtain or process any sensitive special category of personal data.

How do we secure your personal data?

To safeguard your data, appropriate data protection and security measures are in place to protect your personal data against accidental or unlawful destruction, or accidental loss, alteration, and/or unauthorised disclosure or access. Data is transferred only by secure electronic means to our stockists and/or partner companies. Agreements are in place with our stockist and partner companies to ensure they also adhere to current data protection law and regulation, and appropriate security measures are in place. We do not transfer any personal data outside of the UK (EEA).

Where do we store your personal data, and how long do we keep it for?

No personal data is stored and/or retained by us. Once the process you have consented to is complete (EG we have sent you the requested brochure/s and/or passed your details to our three stockists) your personal data is deleted. It is a requirement of the agreement that we have in place with our stockists and partner companies, that they don’t retain your data longer than is necessary. On occasion we may keep anonymised data for a period of 6 months for the purposes of recording and reporting on lead conversions to sales.

Your rights in relation to personal data

Should the processing you have consented to, not as yet have taken place, you can rectify your data or withdraw your consent by contacting us on 01462 813138. As we don’t retain any personal data there is no requirement to access, rectify, erase, restrict or export data after the processing activity has taken place and your data is deleted. No personal data is used for the purposes of automated decision making and/or profiling. Your data subject rights remain applicable for any data our stockist or partner companies have control over once your data has been transferred to them with your consent.
